Kaptex is a Chrome extension that saves content from AI tools and websites into your Google NotebookLM — in one click. We built it to be simple, and we want our privacy policy to be simple too.

The short version: We store your account details and your NotebookLM library structure (notebook names, source titles, folders, tags) so the extension works across your devices. We never store the actual content of your conversations or files — that goes straight from your browser to NotebookLM. We do not sell your data.

We are the data controller for the personal information described in this policy.

2. What Information We Collect

Your account

When you sign in with Google, we receive your email address, name, and profile photo from your Google account. We use these to create and identify your Kaptex account.

How you use Kaptex

We track which features you use each day — for example, how many sources you add or how many notebooks you create — so we can apply your plan's limits and understand which features are most useful. This includes recording the URLs of web pages you choose to add as sources, so we can show you your activity and enforce daily limits.

Your NotebookLM library structure

If you use Kaptex's folders and tags features, we store the names of those folders and tags, and which notebooks they're assigned to, so your organisation is available across all your devices. We also store notebook titles and source titles to keep your library in sync.

Payment information

If you subscribe to Kaptex Pro, your payment is processed by Stripe. We receive only a customer reference ID from Stripe — we never see or store your card number or payment details.

What stays on your device

Your sign-in session is stored securely inside Chrome on your device. It is never sent to our servers.

What we never store

  • The content of your conversations on Claude, ChatGPT, Perplexity, or any other AI platform. When you save a conversation, it is read from the page in your browser and sent directly to NotebookLM — it does not pass through Kaptex's servers.
  • The content of files you upload to NotebookLM. Files go directly from your browser to NotebookLM without touching our servers.
  • Your browsing activity on any site not listed under "Which sites Kaptex can access" below.

3. How We Use Your Information

  • To run the service — authenticate your account and add content to your NotebookLM notebooks on your behalf.
  • To enforce your plan limits — track daily usage so free and pro limits work correctly.
  • To sync your library — store folders, tags, and notebook structure so they persist when you switch devices.
  • To manage your subscription — verify your plan status and process renewals via Stripe.
  • To improve Kaptex — analyse aggregated, anonymised usage patterns to decide which features to build next. We do not analyse your individual content.
  • We do not use your data to train AI models.

4. Legal Basis for Processing (GDPR)

If you are in the European Economic Area, we process your personal data under the following legal bases:

  • Contract — to provide the Kaptex service you signed up for.
  • Legitimate interests — to improve the service, prevent abuse, and maintain security.
  • Consent — for any optional communications such as marketing emails (you can withdraw consent at any time).
  • Legal obligation — where required by applicable law.

5. How Kaptex Works with NotebookLM

Kaptex interacts with Google NotebookLM on your behalf, using your existing Google login in Chrome. It acts the way you would if you were manually adding sources through the NotebookLM interface — reading your notebooks, adding sources, creating new notebooks when you ask it to.

Because Google does not currently offer a public API for NotebookLM, Kaptex works with the NotebookLM interface as it exists today. If Google changes this interface, some features may stop working until we release an update. Kaptex does not store your Google credentials and cannot access your Google account beyond what you explicitly use it for within NotebookLM.

Kaptex does not activate on any other websites. It does not read or transmit anything from sites outside this list.

All data on our servers is encrypted in transit (HTTPS/TLS) and at rest.

8. Third-Party Services

  • Supabase — our database and authentication provider. Stores account, subscription, library, and usage data. Hosted on AWS. Supabase Privacy Policy

  • Google OAuth — sign-in only. We request access to your basic profile (name, email, photo). Google Privacy Policy
  • Google NotebookLM — the destination for all content you save. Your notebook data is governed by Google's Privacy Policy.

9. Data Sharing

We do not sell, rent, or trade your personal data. We share data only with the third-party services listed in section 8, as necessary to operate Kaptex. We may disclose information if required by law.

If Kaptex is acquired or merged with another company, we will notify users before any data is transferred, and the acquiring entity will be required to honour this policy or notify you of any changes.

10. International Data Transfers

Your data may be transferred to and stored in countries outside the European Economic Area, including the United States (AWS / Supabase). Where we make such transfers, we ensure appropriate safeguards are in place, such as Standard Contractual Clauses approved by the European Commission.

11. Data Retention

  • Active accounts — data is retained for as long as your account exists.
  • Deleted accounts — personal data is deleted or anonymised within 30 days of your deletion request.
  • Usage events — retained for up to 12 months to support limit enforcement and aggregated analysis, then deleted.
  • Subscription records — retained as required for financial and legal compliance.

12. Security

We implement appropriate technical and organisational measures to protect your data:

  • All data in transit is encrypted with HTTPS/TLS.
  • Authentication uses Google's secure OAuth 2.0 protocol.
  • Access to user data is restricted to authenticated requests only.
  • Your sign-in session is stored inside Chrome's secure local storage, not on our servers.

13. Your Rights

Under GDPR and other applicable laws, you have the right to:

  • Access — request a copy of the personal data we hold about you.
  • Correction — ask us to correct inaccurate or incomplete data.
  • Deletion — request that we delete your account and data. We will do so within 30 days.
  • Restriction — ask us to limit how we process your data.
  • Portability — request your data in a portable format. Your NotebookLM content remains in your Google account at all times.
  • Objection — object to processing based on legitimate interests.
  • Withdraw consent — for any processing based on your consent (e.g. marketing emails), you can withdraw at any time without affecting prior processing.
  • Complain — lodge a complaint with your local data protection authority (in Poland: UODO — uodo.gov.pl).

14. Children

Kaptex is not intended for users under 16. We do not knowingly collect personal data from anyone under 16. If you believe a child under 16 has created an account, contact us and we will delete it promptly.

15. Changes to This Policy

We may update this policy from time to time. Material changes will be communicated via the extension interface or by email before they take effect. The "Last updated" date at the top always reflects the current version. Continuing to use Kaptex after a new policy takes effect constitutes acceptance of the updated terms.
